Job description: Project Secretary:
• Maintaining project related correspondence in both hard and soft copies for ready reference by concerned project personnel.
• Provide administrative and secretarial support as required by project team members such as document scanning, faxing, and email correspondence.
• Manage all files and records related to the office in good order, to be able to retrieve information when needed (both paper and electronic).
• Setting up project document procedure for new jobs.
• Quality Assurance – Responsible for working within the provisions and guidelines of the Quality Assurance system relevant to the Business Unit.
• Safety – Responsible for personal safety safe working practices for the Business Unit. Understand and follow HSES procedures.
• Ensure proper project close outs and archive is maintained in line with client requirements.
Technical Clerk:
• Material Take-off from drawings & documents, Material entry and Fabrication detail entry into the Material Management system under the overall guidance of the Senior / Lead Designers / Engineers, in compliance with customer’s Technical Specifications, Company standards.

Daily reporting about progress, non compliance, delay in work to the Project Manager
Ensure that Communication regarding any changes in plan have reached the engineers/Contractors and/or Sub-Contractor’s Representatives
Conducting regular job site inspections
Actively monitor the work environment for hazards
Assist in the quality and safety audit Identify and highlight possible risk on project
Assist in necessary project documentation
